Bill vs. Expense in QuickBooks Online: What’s the Difference?

One of the common questions when using QuickBooks Online is: Should I enter this as a bill or an expense?
The difference is actually quite simple:
Bill = Pay Later
Expense = Already Paid
But choosing the correct one matters for accurate bookkeeping.
When to Use Bill vs Expense in QuickBooks Online?
Use a Bill when you receive goods or services from a supplier but haven’t paid for them yet.
For example, your supplier sends you an invoice today for $1,000, with payment due in 30 days.
Enter it as a Bill.
QuickBooks records the amount you owe in Accounts Payable, allowing you to track how much you owe your suppliers and when payments are due.
When you eventually pay it, use Pay Bills in QuickBooks. This links the payment to the original bill and removes the amount from Accounts Payable.
Use an Expense when the purchase has already been paid.
For example, you purchase $100 of office supplies and pay immediately with your business credit card.
That transaction can be recorded as an Expense because there is no outstanding amount owing to the supplier.
Why Bill vs Expense Matters for Accurate Bookkeeping?
Using the correct transaction type helps keep your supplier balances and Accounts Payable accurate.
A common mistake is entering a supplier invoice as a Bill and then later recording the payment separately as an Expense. The original Bill can remain outstanding in QuickBooks even though the supplier has already been paid.
An easy way to remember:
Haven’t paid it yet? → BILL
Already paid it? → EXPENSE
Getting the small things right is what keeps your bookkeeping accurate and your financial information reliable.
